Job Description

JOB PURPOSE

To work closely with the project team both internally and externally, coordinating and supporting company procedures maintaining transparent, up to date and easily traceable documents. This role requires logical thinking and exemplar organisational skills and will often require working to strict deadlines. The role will be responsible for resolving all document control conflicts and ensuring that adequately trained resource is always available.

Secondary to document control, provide an efficient administration service to the site team ensuring the requirements of the site team and project are met.

MAIN RESPONSIBILITIES

DOCUMENT CONTROL

  • Quality and compliance checks on documents
  • Filing and organisation of documents (both electronically and/or hardcopies)
  • Control over documentation modification, distribution, issuance during its whole lifecycle
  • Distribution of documents to relevant people/organisations
  • First line contact in case of escalation of a document control related issue
  • Training of all users both internal and external
  • Electronic Document Management System Superuser
  • Own and administer document control system
  • Clarification and technical authority role for document control issues
  • Co-ordinates a team of document controllers/administrators
  • Ensures document controllers/administrators are adequately trained
  • Ensures commitment, support and buy in from internal and external interfaces
  • Development and implementation of system and process

GENERAL ADMINISTRATION

  • Assist with general administration requirements of the project and office.
  • Greet visitors to the site.
  • Manage security requirements with regard to security registration, inductions, vetting, approval and access for all site personnel.
  • Assist with the management of meetings, facilities, refreshments etc.
  • Help in keeping offices and facilities clean and tidy.
  • To undertake any other duties and responsibilities that may be reasonably expected within the nature of the post on an adhoc basis.

WORKING HOURS

  • 39 hours per week
  • 08:00 to 17:00 Monday to Thursday and 08:00 to 16:00 Fridays with a 1-hours unpaid break each day
