Summary of role

The post holder will provide results driven, positive and effective leadership and direct management for a department of functional specialist Managers delivering administration across the organisation.

The post holder will provide line management / performance management of Team Managers in Referrals & Scheduling, the Contact Centre, Medical Secretaries and Core Administration Teams across the operation, whilst collaborating through a matrix management structure with Clinical Operational Managers within P-UK and across the HLP Group specialist functions, where and as appropriate

Duties/responsibilities

As the Admin Functional Specialist Operations Manager at Psychiatry-UK your responsibilities will include:

  • Actioning directives through operations as directed by the Chief Operations Officer.
  • Actioning through a strong matrix management structure, the direct support & ‘performance management’ of Team Managers in the Contact Centre, Scheduling and Referrals, Medical Secretarial and Central Administration, whom in turn manage various teams of non-clinical staff within Psychiatry-UK.
  • Responsible for robust Admin Operations throughout the organisation ensuring compliance within PUK’s Clinical Quality & Governance Framework.

This list is not exhaustive, and the post holder could be asked to perform a wider variety of duties to ensure performance management across the team.

Qualifications/skills

This is a dynamic, fast-paced organisation. You will need a positive attitude and be able to work with autonomy and initiative to achieve and exceed goals and meet deadlines.

You will also need to have:

Essential

  • Degree and/or recognised qualification in Management or; Has held a similar post in a relevant sector.
  • Has overseen staff management and training programmes.
  • Has created and monitored policies and procedures for a similar organisation.
  • A good understanding of HR processes and procedures
  • Previous management of IT and communications systems
  • Strong Microsoft Office skills including Excel and PowerPoint
  • Excellent written and verbal communication skills
  • Strong leadership skills with ability to persuade, influence and delegate
  • Friendly, approachable, and supportive
  • Knowledge of office management systems and procedures
  • Excellent time management skills and the ability to prioritise work
  • Problem-solving skills
  • Strong organisational skills with the ability to multi-task
  • Experience of complex systems
  • Experience of working with or within NHS services or Clinical Services

Job location

Remote working (preconfigured laptop provided). The postholder will be required to work from a secure home office base and attend occasional in-person meetings where travel to other locations is necessary.
