The Role

The position of Production payables will take full responsibility for the production payables requirements at Mindshare Worldwide. Working as part the AP team, the role will ensure best practice and SOX requirements are followed at all times. The role also requires regular communication with stakeholders across the business and at all levels. The AP Manager will provide full support in achieving the objectives of the role.

Responsibilities

• Processing all Third Party (Non-Media) Supplier Invoices using the invoice log application against PO’s and ensuring all invoices are paid in line with payment terms.
• Bi Monthly BACS payment runs. With the occasional manual payments when required.
• Monitoring personal and payables mailbox ensuring all invoices/statements are identified and actioned.
• Maintaining relationships with internal staff who will raise PO’s and also externally with suppliers.
• Using the accounting system and banking system to set up all payments for invoices including posting the cash payment when the money leaves the account.
• Continuous review of aged creditor report ensuring all queried invoices are investigated and resolved.
• For both Vodafone (Mobile Phones) and Addison Lee (Couriers/Taxis) responsible for receiving and processing the monthly invoices ensuring all costs are posted to the correct departments, querying any abnormal spend.
• On a quarterly basis provide a list of all new suppliers to WPP including invoices and spend levels for review.
• Setting up of new suppliers ensuring all security checks are completed prior to use.
• Assisting members of the payables team during times of absence.
• Other adhoc tasks from time to time.

The Ideal Candidate

As a Production Payables Assistant, you will have a hands-on pro-active approach with good attention to detail. The role would suit someone who is organised and has good communication skills and is used to working to deadlines. The role is aimed at someone who is looking for their first job within a Finance team and the candidate should be willing to learn within a fast moving business.

Desirable Criteria

• Familiarity with a range of Microsoft Office Applications including Outlook and Excel including XLookups/Pivot Tables. Mediaocean experience beneficial but not essential.
