Title: Senior Purchase and Sales Ledger Assistant

Type: Fixed Term (12 Months) Full-Time

Salary: £21,141 - £24,515 per annum (under review)

Working within our finance division, the postholder for this role will have the following main responsibilities:

• Process vendor invoices to CBS: Electronically matching the invoice to the PO and then send the invoice for approval
• Statement reconciliations, liaising with external vendors to sort any queries
• New vendors – collate new vendor forms for authorisation by Procurement (before bank verification)
• Archiving of invoices, sequence checking for completeness.
• Ensuring all invoices have approved purchase orders.
• Chase internal staff to raise PO’s or return invoice to vendor, approve PO’s and approve invoices. Remind staff of
• PO’s awaiting approval or invoices waiting approval
• Verification of new vendors, checking the address and verifying bank details by phone (anti fraud checks)
• Change of bank detail process to be followed with verification by phone to the vendor (anti fraud checks)
• Liaise with vendors when an invoice has been rejected (goods/services not delivered as per expectation)
• Deal with all legal notices, phoning vendors, third parties and sheriff offices
• Maintain the SID purchase email on a daily basis, contacting internal and external (usually bank details) customers to ensure issues are dealt with in a timely manner.

The post-holder will perform additional duties as directed from time to time by their line manager. The post holder must use their initiative in the conduct of their work, and apply sound judgement at all times to ensure that they conduct themselves within the framework of SRUC regulations and procedures.
